Office Policies
We do our utmost to be accessible to our patients. This section will detail a few of our office policies.
We are delighted you have selected the Children's Medical Clinic for your child's medical care. While no one likes to talk or think about payments or billing, the Children's Clinic is an independent private practice and a small business. Our goal is to provide top quality care to your kids to help them and your family thrive. Our doctors and staff are compassionate, experienced and truly enjoy working with our patients and their families. We appreciate your cooperation in following our office and financial policies so that we can focus on providing the very best in coordinated health care.
Insurance and Financial Responsibility
- It is your responsibility to know your insurance benefits.
- It is your responsibility to keep us updated with the correct insurance information. Your insurance policy is a contract between you and your insurance company, even if your employer provides it. You are responsible for knowing what services are covered, how often (example - well visits), and how much of the cost is your responsibility.
- You must pay your copay and any outstanding balance at the time of service.
- The balance due may reflect payments toward meeting your deductible, your coinsurance, or any services your insurance does not cover. Insurance companies require us to collect your copay at the time of service. We accept cash, credit cards, and checks as forms of payment.
- As a courtesy to you, we bill your insurance for services provided in our office, and newborn care provided in the hospital. We request your prompt attention to problems in processing these bills that are under your control, such as ensuring the insurance company has correct information or a newborn not yet added to a policy.
- It is your responsibility to know if a written referral or pre-authorization is required to see a specialist or undergo certain procedures. It can be confusing and labor intensive; our office works hard to facilitate referrals for care your doctor feels is needed. Please do not contact our office to ask for "retroactive authorization" if you have failed to follow your insurance company guidelines.
- If we are unable to verify your insurance coverage all services must be paid for at the time of your visit.
- If you have an insurance plan that we are not contracted with payment in full is due at the time of the visit. We will provide a bill that you can submit to your insurance company for reimbursement.
- If you have a high deductible plan please do not ask us for a discount when you have not yet met your deductible. When we contract with an insurance company, we agree to accept fixed charges for each service we provide. That fee will be reflected in your bill. If you are asked to make a payment toward your deductible at the time of service and it exceeds the cost of the visit, the remainder will be credited to your account and applied toward a future visit.
Cancelling an appointment/"No show" policy
Please call if you are unable to keep your child's appointment. Given advance notice of cancellation it is often possible for us to fill that appointment time with another patient who requests a visit. You may be charged a fee for missing an appointment if it is not cancelled ("no show"), or if it is cancelled less than one business day before the appointment time.
